Information collected
UK Journal Publishing stores information submitted through the publication sheet and human-takeover form, including names, contact details, service requests and project notes. The local FAQ assistant also stores conversation messages, matching outcomes and a randomly generated conversation identifier.
Purpose of processing
Information is used to respond to editorial enquiries, assess project scope, maintain service records, improve the local FAQ index and manage requested human follow-up. Manuscript content should not be placed in the chat assistant.
Storage and access
This build stores records in local JSON files on the server. Access to operational records is restricted through the JWT-protected editorial desk. Deployment operators are responsible for server security, backups, retention periods and access controls.
Email delivery
When SMTP is configured, enquiry and takeover details may be sent to the publication email address and acknowledgement messages may be sent to the author. Email transmission is subject to the chosen mail provider’s policies.
Retention and deletion
The deployment operator should define a documented retention schedule and remove records when they are no longer required. Authors may request correction or deletion by contacting the editorial office configured for the deployed website.

This template must be adapted to the operator’s legal identity, jurisdiction, data-retention practice, cookie use and regulatory obligations before public launch.
